How to Activate Manager Approval

Enable and manage approval workflows so file transfers submitted by users can be reviewed and approved or rejected by managers before deliver

Written by TransferChain Team

Manager Approval gives organizations control over outbound file transfers. When enabled, users must get approval from assigned managers before their transfers are delivered. This helps enforce internal policies and reduce accidental data leaks.

Enable Manager Approval

1- From the left navigation panel, click Settings.

2- Scroll to Manager Approval for File Transfers.

3- Toggle the switch to On.

Approvals will be handled by designated managers (or Admins if no managers are assigned).

Choose whether this applies to:

  • All users – Everyone needs approval

  • Selected users – Only specific users need approval

Click Continue when done.

Assign Policy to Users

If you selected “Selected users”:

1- Search or scroll to find the users who should require approval.

2- Select one or more users.

3- Click Assign to policy.

Assign Manager Users

Designate users who can approve transfers:

1- Under Manager users, click Assign users.

2- Select one or more users to act as managers.

3- Save your selection.

Managers will receive approval requests for users covered by the policy.

Manager Approval Workflow

Once setup is complete, the approval process works as follows:

1- A covered user submits a file transfer.

2- The transfer is placed in Pending Approval.

3- Managers receive the request.

4- Managers Approve or Reject the transfer.

5- Approved transfers deliver to the recipient.

Rejected transfers are blocked.

When Managers Review Transfers (In App)

Managers can see pending approvals in the app:

  • Go to Approvals from the left menu

  • View pending transfers

  • Approve or reject with a single click

Approved transfers

Once a transfer is approved by a manager, the transfer link becomes active and recipients are allowed to download the files.

Rejected transfers

If a transfer is rejected, the files cannot be downloaded. When a recipient attempts to access the transfer link, the system blocks the download and displays a rejection notice.
